Our Privacy & Cookie statement

This privacy statement applies to the processing of personal data from job applicants. We respect your privacy. Adent believes that the protection of your personal data is of paramount importance to us. You should know which personal data we collect on you and what we do with these data. When processing your personal data, we adhere to the applicable data protection laws and regulations.

 We are part of Adent Holding SA. We are located at Chemin du Croset 7 in 1024 Ecublens, Switzerland. We are registered in the Swiss Registry of Commerce under number CHE-114.574.058.

 We may occasionally update this privacy statement. You can always find the most recent version on this website.

 

Categories of personal data and our purpose

Adent processes personal data when you apply for a job. Below we explain why and how we use your personal information to fulfill our vacancies.

Example: Adent uses Talentsoft to store your personal data during the recruitment process. Talentsoft is a cloud-based service. Therefore, this processor may have access to our candidates' personal data in order to provide the service. Agreements have been signed with this processor to ensure your privacy in accordance with applicable laws and regulations.

We will only process the personal data you provide to us to execute our application procedure. Your resume and cover letter can entail much personal details, such as your name, address, date of birth, (mobile) telephone number, e-mail address and a photo if you provide it with your letter or resume. We only use this information for:

  • evaluating your suitability for a job opening;
  • communicating about the recruitment process;
  • checking references, possible screening and conducting assessments in order to gain a better insight into your qualities;
  • preparing a job offer and possibly to prepare your employment contract;
  • sending job alerts and/or general information about our organization.

Legal ground for processing

We process your personal data only based on a legal ground. It’s possible we ask your consent to retain your information for 1 year for possible future vacancies.

 

Camera surveillance

Due to the safety of our employees, patients, applicants and protecting against the practice location(s) and/or office(s) against crime we use camera surveillance. We record in- and outside our perimeter. Therefore, it is possible that we record you when you visit one of our practices or offices. Please be aware it’s for safety reasons and we handle this footage with due care.

 

Use of third parties for processing data

As mentioned above we use Talentsoft to store your personal data during the recruitment process. We enter into processing agreements with all our processors when necessary. For example, we use other third parties for processing activities, such as hosting, our Microsoft tenants and other services. We always do this in a careful manner and for this we take the required organizational, technical, and contractual measures to ensure that your personal data is protected. If this is required by law, we will share your personal data with the relevant authorities. We do not transfer personal data to countries outside the European Economic Area (EEA) or Switzerland without adequate safeguards.

 

Retention of personal data

We delete the information of applicants 12 months after the application procedure ends. It’s possible we ask for your consent to store your information longer. Your data and account will be retained in Talentsoft for a period of maximum 1 year after completion of the application process and then deleted. You can view, edit or delete your data at any time writing an e-mail to gdpr@adent.ch or to the Human Resources Department.

 

When you start as an employee, your data will become part of your personnel file and your data will be processed in accordance with the internal privacy policy for employees. When you sign up for a newsletter (for example our vacancies), your data (e-mail address and preferences) will be stored until you unsubscribe from this newsletter.

 

Secure personal data

We protect your data with appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. For example, all employees who process or view personal data are obliged to maintain confidentiality. Only employees that need your data to execute their work have access to your data. In addition, we use a layered security strategy including: network segmentation, firewalls, end-point security, 24/7 monitoring of our systems, logging, back-ups for restore and multi-factor authentication. This guarantees the availability, integrity, and confidentiality of the IT environment as much as possible.

Use of cookies

We use cookies on our website. A cookie is a small text file that your browser stores on your device and that sends information from your device to servers and - in case of tracking cookies - to Google and Facebook, for example.

Your rights

The GDPR and New Federal Act on Data Protection (nFADP) gives you certain rights as an individual. Please read below which rights and how to exercise them:

Right to information. You have the right to know which data we process about you and for which purpose. This privacy statement outlines how we handle your personal data.

Right to access. You can request access to the personal data we process, and you are entitled to a copy of that data.

Right to rectification. If the personal data that we process is incorrect, you have the right to have it rectified. For example, if your email address has changed.

Right to erasure. If your data is no longer necessary for the purpose for which they were collected, you have the right to have this data erased. We are obliged to delete this information if you ask us to do so. For example, if you don’t want to be in our database as an applicant because you’ve accepted another job. In certain situations, we need to store your data because of statutory obligations. If that’s the case, we will you inform you we can’t delete your information.

Right to data portability. This means that, in certain situations, you can have the data we have on you transferred to other parties. But this is only possible if you give your explicit consent for processing of these data or if there is an agreement.

Right to restriction. In some cases, you can temporarily block the processing of your personal data.

Right to object. You have a right to object the processing of your data. If you have a valid reason, we will stop the processing. For example, if you don’t want to receive any more information from our organization.

Withdrawal of consent. If you have given your consent to us for processing your personal data, you can always withdraw this consent. For example, unsubscribe to a newsletter.
